Digital signage

What should office digital signage show, what does it cost, and does it work with Microsoft 365?

Office digital signage should show internal communications, live KPIs, meeting room status, wayfinding and emergency messaging, and it costs £500 to £1,500 per main screen installed in the UK plus £15 to £40 per screen per month for the CMS. Microsoft does not sell a signage product, but mainstream signage platforms connect to Microsoft 365 for SharePoint news, Teams posts, Power BI and room calendars.

From the floor. The bit that goes wrong six months in is content ownership. Internal comms wants the lobby screen, facilities wants the room-status panels, and the building manager wants the fire muster slot, and nobody has written down which CMS role each of them holds. We push for an RACI on the CMS at handover with a named deputy for every role, and we put the brand and emergency message libraries under a single locked folder that only one approver can change. Skip that and the lobby screen will be running a stale lunch menu in three months. (David Corker, Technical Sales Director)

Unlike retail signage, the audience is staff and visitors, so the mix leans on operational data. Internal comms covers news, recognition, events and health and safety. KPI screens pull sales, service or project dashboards from Power BI. Room status panels outside each room show available or in use and the next booking. Wayfinding at lift lobbies helps people in agile buildings find a desk. Emergency messaging is the override slot: a fire panel or lockdown trigger replaces every screen with evacuation or invacuation instructions.

On cost, a main screen is a 43" to 55" commercial panel with a System on Chip player and wall mount at £500 to £1,500 installed through digital signage; a 75" lobby screen runs to £3,500 or more. Room-status panels are £250 to £600 each plus £3 to £10 per panel per month for the room and desk booking software behind them, and the signage CMS is £15 to £40 per screen per month.

Does Microsoft have a digital signage solution? No. Microsoft does not sell a signage CMS. Signage platforms such as ScreenCloud, Yodeck and Mvix sign in with a Microsoft 365 work account and show SharePoint pages and news, Teams channel posts, Power BI reports and Microsoft 365 room calendars. Microsoft Teams Rooms scheduling panels (Logitech Tap Scheduler, Yealink RoomPanel, Crestron) show room status natively from the Exchange room mailbox with no signage CMS involved. ScreenCloud or Mvix suit a pure Microsoft 365 estate; Yodeck, Navori or MagicInfo handle mixed estates with Google Workspace or on-premises feeds.

Quick reference: show internal comms, KPIs, room status, wayfinding and emergency messages; main screens £500-£1,500 installed, room panels £250-£600 + £3-£10/panel/month, CMS £15-£40/screen/month; no Microsoft signage product, but ScreenCloud, Yodeck and Mvix connect to Microsoft 365.
